• Operations and Finance Officer – Encounter

    Encounter seeks outstanding and qualified candidates to join our Jerusalem-based team as Operations and Finance Officer. The ideal candidate is a detail-oriented self-starter committed to excellence for whom no task is too small, and who is able to see how the details fit into the larger picture and organizational needs. The Operations and Finance Officer will be responsible for overseeing and ensuring seamless operational, logistical, and financial management in Encounter’s Jerusalem office and throughout all field programs.

    Responsibilities

    Finances: Manage and oversee all financial activity conducted out of the Jerusalem office including petty cash, budgeting, expense reports, bank accounts, payroll, etc.
    External Relations: Liaise with Encounter’s lawyers, accountants, and Palestinian and Israeli vendors as well as with Encounter’s head office in New York.
    Office Management: Manage and maintain all utilities, tech & appliances, and office supplies, and oversee cleaning services.
    Program Planning & Logistics:
    Food Services: create menus, place food orders, and oversee external logistics firm to ensure seamless provision of meals, snacks and coffee breaks on all programs.
    Program Supplies: Maintain inventory of all tech, disposables, medic, and stationery supplies, and restock as needed in advance of each program.
    Venues: Manage booking of all hotels and meeting spaces in coordination with external logistics firm and ensure provision of all related services.
    Transportation: Book and manage all program transportation.
    Participant Forms & Information: Ensure receipt of all participant forms and communicate with participants regarding any special needs.
    Printed Materials: Print and assemble all program materials and collaterals.
    Database: Enter all participant, program, and speaker information into Salesforce and ensure all records are correct and up to date; generate and print reports.
    Insurance: Oversee purchase of participant insurance for all programs.

    Qualifications

    Fluent in Hebrew and English, written and conversational.
    Strong identification with Encounter’s mission, vision, and values.
    Highly organized, detail-oriented, flexible, and functions well under pressure.
    “Can-do” orientation; assertive; natural problem solver.
    Outstanding interpersonal and communication skills, both verbal and written.
    Excellent time management skills; ability to execute on deadlines and successfully navigate competing priorities.
    Tech savvy; easily and quickly learns new processes and systems.
    Proficient in MS Office applications (Word, Excel).
    Preferred experience with Salesforce or similar database.
    Preferred experience managing financial records.
